Menu Options

* starred menu options are for AL users only. Aqua highlights identify AL options and variations.

Before Login (Top Right)

Login -- Your initial username is the school (work) email address you used to register, unless you support more than one school with the same email address. You are enabled for login after you register and set a password.

Set/Reset Password -- You can set or change your username/password using the email address and school code you used to register. Enter your email address and school code.  On the next page, you can change your username and password. AL users must enter "none" (without quotes) for school code to reset password.

Register -- Enter your school (work) email address and school code to begin the registration process. On the next page, enter your name and phone number to go to the page that enables you to set a username and password.

After Login (Top Left and Right)

*Upload Schools -- Upload schools from a .csv file exported from the OSB Data spreadsheet.

*Schools -- Goes to Schools page. See detailed help below.

*Users -- Goes to Users page. See detailed help below.

*Days -- Goes to Days page. See detailed help below.

*Find Students -- List students by school or by full/partial last name.

Students -- Lists all students entered for your school. From this page, you can add students, schedule them, and print passports (see detailed help for the Students Page below).AL users do not have this option but can list students by school using Find Student.

School Contacts for OSB -- Lists the people (typically school counselors) who are registered to support Operation School Bell for your school. If you see someone on this list who should not be registered for your school please let us know by emailing admin@schoolbell.us. AL users do not have this option but can list all users and filter by school.

OSB Info -- Information about Operation School Bell.AL users are enabled to edit OSB Info.

Logout -- Signs you out and goes to the Operation School Bell Initial Page.

*Schools Page

Lists all schools in the database.

Sort -- Click column heading to sort; each click toggles between ascending and descending order. To sort on multiple columns, click a column and then shift click on another column.

-- Can change fields other than school code, which would cause database inconsistency.

*Users Page

Lists all users in the database.

Sort -- Click column heading to sort; each click toggles between ascending and descending order. To sort on multiple columns, click a column and then shift click on another column.

Filter -- Click the grey bar under the heading; select from a dropdown for school or role. Type in boxes to filter by other fields.

 -- AL users are enabled to change name and phone number for themselves and for users with the school counselor role.

 -- AL users are enabled to delete themselves and users with the school counselor role.

*Days Page

Lists the scheduled shopping days for the current year.

 -- goes to student list or Fitting Schedule Page for a specific day. The schedule button for Next Available Day goes to the first day on or after the current date that has available openings.

 -- goes to student list for a specific day.

Filter -- Click the grey bar under the heading; select from a dropdown for school or served. Type in boxes to filter by other fields.

*Fitting Schedule Page

The number in parenthesis after each time indicates how many openings are still available at that time. The number in parenthesis after each student name indicates grade level.

 -- Goes back to day list

 -- Go to next day

Students Page

The heading shows the number of fittings allotted to your school and the number remaining (allotment minus the number of students already entered).AL users can list students using Find students and can view allotments on the schools page.

Add Student

  1. Fill in data; first name, last name, and grade (K or 1-12) are required.
  2. Press enter/return or click Save to add student to the database. The new student is added to the end of the list and will be placed in the correct sequence when the page is refreshed or sorted.

Schedule a Group of Students at the Same Time

  1. Check the boxes to the left of one or more students you want to schedule or unschedule. You can select students who have not yet been served.
  2. Click the schedule group button in the column heading to go to the Schedule Group page.

 -- goes to the Edit Student Page where you can schedule a student for a fitting, edit name and grade, or delete a student.

 -- goes to the Passport Print page; Each student needs a passport to shop.

Served Column -- The Assistance League will update this field, usually by the end of each day during Operation School Bell. Values:

Yes: Student received clothing.

no: Student has not yet received clothing.

NO: Student has not received clothing and the scheduled date has passed.AL users do not see the NO value since it is intended to alert counselors of a missed fitting.

Schedule Group Page

This page enables you to schedule or unschedule the student(s) you selected on the Students Page. To schedule, select a date and then a time. The available times that can accommodate your group are listed with the number of slots available in parenthesis. You can select the unschedule check box to remove a scheduled date/time from the selected students. Press enter/return or click   to update the students in the database.

Edit Student Page

You can change name and grade. If a student has not yet been served, you can schedule, unschedule, or reschedule their fitting. To schedule, select a date and then a time. The available times are listed with the number of slots available in parenthesis. Press enter/return or click   to update the student in the database.

 -- presents confirmation dialog box and deletes student if confirmed.

School Contacts for OSB

Lists the people who can schedule students from your school for OSB. If you see someone on this list who should not be registered for your school please let us know by emailing admin@schoolbell.us.

 -- goes to the Edit Page where you can update your name or phone number. You cannot change your email address or school code; if either are incorrect you can delete yourself and re-register with the correct email address and school code.

 -- deletes the user you are logged in as. You would do this if you are no longer supporting OSB for your school or if you accidentally entered an incorrect email address or school code when your registered. Presents a confirmation dialog box and deletes your registration if confirmed.
